ThunderCloud Playbook –Support and Publisher Navigation
Supported Browsers
Playbook Publisher has been qualified to run on a Windows 7 or 8 PC The following web browsers are supported - Internet Explorer, Firefox, Google Chrome
Getting to the Playbook Publisher
- From a web browser navigate to tc.xosdigital.com
- Log in with your ThunderCloud credentials
Click on Playbook Publisher
ThunderCloud Playbook – Users, Groups and Permissions
Playbook User Types
- Site Admin
- Can create/delete/modify users and groups.
- Can assign permissions for folders, playbooks and tabs.
- Cannot create folders or playbooks.
- Playbook Author
- Can create/delete/modify folders and playbooks.
- Standard User (Only assignable in SSO)
- Permission automatically assigned when a user is created through Playbook Publisher.
- Can view playbooks through the ThunderCloud app.
- This user type MUST be assigned for any user who you’d like to have access to Playbook.
- Has no access to the Playbook Publisher website.
Creating Users
Users created in ThunderCloud SSO and assigned playbook permissions will automatically show in the users section of Playbook Publisher. It’s recommended to create all users in ThunderCloud SSO, however, if a user is created through Playbook Publisher they’ll appear in SSO. Only Site Admin’s can create users in Playbook Publisher.
- Click on the Users button on the navigation bar.
- From the Choose A User dropdown menu select Add a User.
- Fill in all required user information.
- Choose to specify a password and assign the user a default password.
- If the Require Password Change box is checked off the use will be asked to change their password the next time they log into tc.xosdgitial.com
- Playbook users can have multiple user types.
- Video Coordinator: Site Admin, Playbook Author, Standard User
- GA/Quality Control Coach: Playbook Author, Standard User
- Coach/Player: Standard User
Creating Groups
- Playbook Group creation and modification is only available through the Playbook Publisher webpage.
- Click on the Groups button on the navigation bar.
- Select New Group, name it and click Submit.
Adding Users to a Group
Option 1
- Click on the Groups button on the navigation bar.
- A dropdown will appear giving you the ability to Add a User to this Group.
- Select a user and click Add. o Do this for all users you’d like to assign to that group.
- Once a user is assigned to the group you’re working on they’ll disappear from the drop down menu.
- Click Submit to finalize the group assignment.
Option 2
- Click on the Users button on the navigation bar.
- Click on the Groups tab.
- Select a user to see their group associations.
- Select a new group to add them to the Group Associations dropdown and click Add.
- To remove a user from an assigned grouped click the red x under Edit/Remove.
- Click Submit to finalize all changes.
Playbook Permissions
- All permissions are set on the group/user level.
- Permissions can be assigned on three separate levels.
- Folder
- Playbook
- Tabs (sections) within a Playbook
- There are two types of permissions.
- Read: Users have access to view the folder/playbook/tab.
- Deny: Users do not have access to view the folder/playbook/tab.
- In order for any group member or user to have access to a Playbook they must have Read permission on the top level folder under which the playbook lives.
- If users are not given read permission on a top level folder then they will automatically be denied that folder. Therefore, it’s not necessary to deny top level folders to groups/users if you don’t want them to have access to them.
- Playbook Authors automatically inherit read permissions on any of the folders/playbooks they create.
- Playbook Authors do not have access to folders/Playbooks created by other Authors unless they are given read permission.
- Site Admins do not have access to playbooks unless they are also Playbook Authors.
- Site Admins who are also Playbook Authors do not have access to folders or playbooks created by other users unless:
▪ The Site Admin/Playbook Author created the top level folder or the Site Admin/Playbook Author who created the folder or playbook gives the Site Admin/Playbook Author read permission to the folder.
Assigning Group Permissions
- Click on Groups from the navigation bar.
- Click on the pencil icon next to the group you’d like to assign permissions.
- Click the Add button next to Set Permissions for this group.
- From the drop down select whether you’d like to set it on a folder/playbook/tab.
- From the drop down menu select the item you’d like to set your permission on.
- Choose to either grant Read or Deny access. o Click Submit to finalize the change.
- The permission will now appear in a listing at the bottom of the Edit Group window.
Assigning User Permissions
- Click on Users from the navigation bar.
- Select the user you’d like to edit from the drop down menu.
- Click on the Permissions tab then click Add.
o From the drop down select whether you’d like to set it on a folder/playbook/tab. o From the drop down menu select the item you’d like to set your permission on. o Choose to either grant Read or Deny access. o Click Submit to finalize the change.
- The users permissions will now reflect the change made
- Any permissions assigned from a group will appear as (Inherited)
ThunderCloud Playbook – Creating Folders
ThunderCloud Playbook users need to create a folder structure to organize their playbooks. Folders will always sort alphanumerically, in the Publisher and ThunderCloud app, the same way folders do in Windows.
Adding a Top Level Folder
- Click on the Playbook Publisher Files folder at the very top.
- Click the Add Folder button on the navigation bar.
- Name the folder and click Save
Adding a Sub Folder
Option 1
- Highlight the folder you’d like to create a sub folder under and click the Add Folder button on the navigation bar.
- Name the folder and click Save.
Option 2
- Right click on the folder you’d like to create a sub folder under.
- Click on the Add Folder button from the right click options menu.
- Name the folder and click Save

Adding a Playbook
Option 1
- Highlight the folder you’d like to create the Playbook in.
- Click the Add Playbook button on the navigation bar.
Option 2
- Right click on the folder you’d like to create the Playbook within.
- Click on the Add Playbook button from the right click.
Creating a Playbook
- After creating the Playbook name it and add Playbook tabs.
- Adding tabs is optional as they can be added after the playbook is created.
- Click Select PDF to upload a file to the top level tab.
- Only one PDF may be uploaded at a time.
- Click Create Playbook to finish.
Editing a Playbook
Double click on a Playbook to open the Playbook Editor.
- Add Tab – Add a new tab to the Playbook. Tabs are located on the far left of the left hand page.
- Add Pages – Add additional PDF documents to the Playbook.
- Delete Pages – Delete the selected Playbook pages.
- Save – Save the work done while editing the Playbook.
- Publish – Make the Playbook available to users.
- Unpublish – Remove the Playbook from user’s devices the next time they log in with internet access.
- Auto Unpublish – Set a date for the Playbook to be automatically removed from a user’s device.
Add/Edit Tabs
- Click Add Tab to add additional tabs to your Playbook.
- Name your tab. Tab names have a maximum of 22 characters.
- Tabs may be reordered individually selecting them and then dragging them to their new location.
- Right click on a tab to edit the name or delete it.
- Deleting a tab will delete all of the pages inside it.
Add Pages
- Highlight the tab to insert pages inside. Click the Add Pages button.
- The active tab is highlighted in teal
- Click Select PDF and choose the PDF to upload.
- Click Add Pages to complete the upload process.
- If no tab is highlighted the pages will upload to the top level tab.
Reordering Pages within a Tab
- Select the page or pages within the tab to reorder.
- Hold CTRL to select multiple pages at once.
- Hold CTRL + Shift to select a range of pages.
- Drag the pages to reorder them. A shadow will appear behind the page to show where it will be placed.
Moving Pages between Tabs
- Select the page or pages within the tab that you’d like to move.
- Hold CTRL to select multiple pages at once.
- Hold CTRL + Shift to select a range of pages.
- Drag the pages over the new tab you’d like them in.
- Tabs will turn dark gray as you drag the pages over them.
- Release the left mouse button while over a dark gray tab to move them. o Pages will be added to the end of the tab.
Delete Pages
- Select the page or pages within the tab that you’d like to delete.
- Hold CTRL to select multiple pages at once.
- Hold CTRL + Shift to select a range of pages.
- Click the Delete Pages button
- Confirm the delete by clicking OK on the confirmation window
Add ThunderCloud Edits to Playbook Pages
- Click on a Playbook page to tie a ThunderCloud edit to it.
- Click on the Add Edits to Page link on the right side.
- The Add Edit to Page window will open.
- Select your side of ball (if necessary).
- Navigate to the Game Plan folder where the edit or edits reside.
- Check the box next to the edit or edits you’d like to add.
- The edits will display in the order that you select them.
- Multiple edits may be added to the same Playbook page.
- Click Add Selected Edits to confirm your selection .
- To remove an edit tied to a Playbook page click the Remove link next to an edit name.
Save Playbooks
- To save the progress or changes made to a Playbook without publishing it click the Save Button. Publish Playbooks
- Playbooks and any adjustments (adding, deleting or reordering tabs or pages) made to them are not made available to users until they’ve been published.
- To publish a Playbook click on the Publish button.
o Playbooks can be published from the Playbook Organizer section by right clicking and choosing Publish.
- The Publish Playbook window will open. This window gives you the option to Surge the playbooks and media associated to the Playbook.
- Include Edits – When checked off the media associated to the attached edits will be downloaded to a user’s ThunderCloud device.
- Edit Expiration – When a date is set this will automatically delete the surged media downloaded to the users ThunderCloud device.

- Once a Playbook is successfully published users will have access to it on their ThunderCloud device the next time they connect to the internet.
Unpublish Playbooks
- To remove a playbook from a user’s ThunderCloud device click the Unpublish button.
o Playbooks can be unpublished from the Playbook Organizer section by right clicking and choosing Unpublish
- The next time a user connects to the internet they will no longer have access to that Playbook.
Auto Unpublish Playbooks
- On the right hand side of the page click on Auto Unpublish.
- A window will open asking you to Schedule Auto Unpublish.
- Playbooks will unpublish at 12:00 AM on the date set.
- Unpublishing will only occur when the user is connected to the internet.
- If a playbook is set to Auto Unpublish it will display the date on the bottom center of the preview window.
- Users may cancel the Auto Unpublish at any time prior to the date set.
- Open the playbook.
- On the right hand side of the page click on Cancel Auto Unpublish.
ThunderCloud Playbook – Playbook Organizer
Edit a Playbook Name
Right click on the Playbook and choose Edit.
- Change the Playbook name.
- Click Save to confirm changes or Cancel to discard.
Change a Playbook Icon
- Right click on the Playbook and choose Edit.
- Select Change Icon.
- Click Select Image and browse out to the picture you’d like to upload.
o .JPG, .GIF and .PNG files less than 2 MB in size can be uploaded.
- Click OK to complete the upload.
- Once the upload is complete click Save. The icon should now be visible.
- The icon will be displayed next to a playbook in the Publisher and take the place of the folder in the app.
Move a Playbook to another Folder
- Right click on the Playbook and choose Move Playbook.
- Select a new folder destination and click Move Playbook.
Copy a Playbook
- Right click on the Playbook and choose Copy Playbook.
- Select the destination folder for the copied Playbook.
- Rename the Playbook to remove “– Copy.”
Copy as a Playbook Template
- This tool allows users to copy the Playbook structure (tab setup) without the Playbook pages.
- Right click on the Playbook and choose Copy as Template.
- Rename the Playbook and choose the new location.
- If desired click Select PDF to upload a PDF to the first tab.
- Click Create Playbook to finish.
Delete a Playbook
Option 1
Select the Playbook and click Delete from the navigation bar.
Option 2
Right click on the Playbook and click Delete from the menu popup.
Delete a Folder
Option 1
Select the Folder and click Delete from the navigation bar.
Option 2
Right click on the Folder and click Delete from the menu popup.
Folders will not be deleted if they contain Playbooks. Therefore, Playbooks must be individually deleted out of the folder prior to the folder being deleted.
ThunderCloud – Surge Playbooks and Media to iPads
Overview
This feature allows users to surge (push) media and playbooks to iPads remotely. The surge occurrs in the background of the app and doesn’t affect the users experience. This can be done while the iPad is in use, inactive or in sleep mode. Currently only Edits and Masters may be surged. No Auto Cutups may be surged.
Enabling Push Notifications
Only iPads approved/assigned by a customer administrator may be surged to. This set up is done in TC SSO and only one
(1) device may be assigned per user.
- Log in SSO (tcadmin.xosdigital.com) as a customer administrator
- Navigate to the Device tab, a listing of all user devices will be shown o Please note that any device a user has logged in with will be displayed
- Find the user and Device Tag you want to approve then click Edit and check the Push Notifications box Save changes by selecting Update
Playbook Publisher – Surging Media and Playbook Contents
- All surging (pushing) of iPad media and playbooks is done through the Playbook Publisher website
- Playbook contents will be surged automatically once they are Published
- Media will be surged through the following steps o Add Edits to a page in a playbook o Select Publish Playbook
- A window will open asking you to Include Edits and set an Edit Expiration Date o Include Edits must be checked for media to be surged o All masters associated to the edits included will be pushed
- Media will expire (delete) from the iPads at 12:00 AM on the Edit Expiration Date
- Click Publish to start the surge process
ThunderCloud – Surge Playbooks and Media to iPads
iPad Setup for Push Notifications and Surge
The ThunderCloud (TC) app must have notifications enabled on the users iPad in order to receive any surged media or playbooks
To enable notifications follow the follow steps
o Tap on Settings 🡪 Notifications
o Scroll down and tap on the ThunderCloud app o Ensure that Allow Notifications is turned on
The Surge and Notification Process
- The TC app must be running on the iPad in order for surged content to download o The user may be logged in and actively using the app
- The user may have the app running in the background, but not actively using it
- If the application is closed then the user will not begin downloading the content until the app is launched and they’ve logged in
- A badge notification will appear on the iPad home menu when a surge notifcation has been received
- The following banners may also be received by the user when they are not actively using the TC app
Download Request Received Playbook Download Complete
Media Download Complete
- The download progress of media may be tracked in the Local Management section of the TC app
- These notifications will not appear if the user is actively using the TC app
GamePlan Data
- GamePlan data will NOT be surged with the video
- Users must login into the app while connected to a wifi source to download the data
- This data will automatically start to download once logged in
- Monitor the download progress through the Local Management section of the TC app
